1. Prepare the Handwritten Items

  1. Organise the Papers: Ensure all 20 handwritten items are flat, unfolded, and free of creases or shadows.
  2. Label Originals (Optional): Write a small identifier on each page (e.g., “Child1_Page1”) to simplify renaming later.

2. Digitise Using the Photocopier

  1. Power On the Photocopier: Log in if required.
  2. Configure Scan Settings:
    1. File Format: Select PDF (for multi-page scans) or JPEG (for single images).
    2. Resolution: Use 300 DPI for clear text.
    3. Colour Mode: Choose Black & White or Greyscale to reduce file size.
  3. Scan the Items:
    1. Place each handwritten item face-down on the scanner bed.
    2. Press the Scan button. For multi-page documents, use the Auto Document Feeder (ADF) if available.
  4. Save the Scans:
    1. Option 1: Save to USB
      1. Insert a USB drive into the photocopier.
      2. Save scans as individual files or a single PDF.
    2. Option 2: Email Scans
      1. Enter your email address to send scans as attachments.
    3. Option 3: Save to Network Folder
      1. Save files to a shared school drive accessible from your PC.

3. Transfer Scans to Your PC

  1. USB Drive:
    1. Insert the USB into your PC and copy the files to a dedicated folder (e.g., “RM Compare Session”).
  2. Email:
    1. Open the email on your PC and download attachments to the same folder.
  3. Network Folder:
    1. Navigate to the shared drive and copy the files.

4. Prepare for RM Compare

  1. Open RM Compare on Your PC:
    1. Log in to your RM Compare account as the Session Creator.
  2. Create or Open a Session:
    1. Start a new session or open an existing one where you want to add the portfolios.
  3. Convert Multi-Page PDFs (If Needed):
    1. If you scanned items as a single PDF, split it into 20 individual files using free tools like Adobe Acrobat or ILovePDF.

5. Upload to RM Compare

  1. Log In to RM Compare: Open the platform on your PC as the Session Creator.
    1. Create/Open a Session: Start a new session or select an existing one.
  2. Add Items:
    1. Click Add Items and upload all 20 files.
    2. For multi-page PDFs, ensure each child’s work is a separate file.

6. Quality Assurance (QA)

  1. Review Portfolio Access:
    1. Open each portfolio link within RM Compare to ensure it loads correctly and displays all pages.
  2. Review Items for Quality and Content:
    1. Check for Inappropriate Content:
      1. Carefully review each uploaded item to ensure it does not contain any inappropriate content.
    2. Check for PII (Personally Identifiable Information):
      1. Ensure that no items contain sensitive data such as full names, addresses, or other personal information that should not be shared.
  3. Check Item Orientation:
    1. Use the Rotate Feature:
      1. If any item is upside down or sideways, use the “Rotate Items” feature in RM Compare to correct the orientation for easier viewing and assessment.
  4. Rename Items Using RM Compare’s New Feature:
    1. Before the session runs:
      1. Use the “Change Item Name” functionality to rename each item directly within RM Compare.
      2. Choose clear, consistent names for each piece (e.g., Child1_Handwriting1, Child2_Handwriting1).
      3. This ensures accurate reporting and data extraction.
    2. Correct Item Naming is part of your QA process.
  5. Confirm QA Completion for Each Item:
    1. After you have completed all checks for an item, use the QA functionality to confirm that QA is complete.
    2. Click the relevant QA button for each item to record and audit that it has been checked.
    3. This is essential before running the session, as items cannot be removed or added once the session starts.

7. Removing and Re-adding Items

  1. Remove an Item:
    1. In the session, select the Item link you wish to remove.
    2. Click Remove or Delete (follow on-screen prompts).
  2. Re-upload an Item:
    1. Use the Add Items button again to upload the corrected or replacement image.
    2. Rename the new item directly in RM Compare using the “Change Item Name” feature.
    3. Repeat all QA checks (content, PII, orientation, naming) for the re-uploaded item.
    4. Confirm QA completion by clicking the QA button for the re-uploaded item

7. Final Checks

  1. Confirm All Items:
    1. Double-check that all 20 items are present and correctly named.
  2. Confirm QA Completion:
    1. Ensure that the QA button has been used for every item, recording that all checks are complete.
  3. Save Your Session:
    1. Ensure your session is saved before exiting.
